These Terms and Conditions ("Terms") govern your booking with The Safe Space Place ("we", "us", "our"). By making a booking — whether by paying a deposit, signing a booking form, or confirming verbally or in writing — you agree to these Terms on behalf of yourself and all members of your party.
Please read them carefully before booking. If you have any questions, contact us before proceeding.
2.1 How to book. To secure your place on a retreat, you must pay a non-refundable deposit of 30% of the total retreat fee. Your place is not confirmed until we have received the deposit and sent you written confirmation.
2.2 Balance payment. The remaining balance (70%) is due 60 days before the retreat start date. We will send a reminder, but it is your responsibility to make payment on time. Failure to pay the balance by the due date may result in your booking being cancelled and your deposit being forfeited.
2.3 Late bookings. If you book within 60 days of the retreat start date, the full amount is payable at the time of booking.
2.4 Payment methods. We will provide payment details (bank transfer or other accepted methods) at the time of booking. All prices are quoted in GBP (£) unless stated otherwise.
2.5 Prices. Prices are correct at the time of publication but may change prior to booking. Once your deposit has been received and your booking confirmed in writing, your price is fixed.
All cancellation requests must be made in writing (by email or WhatsApp message) to us. The cancellation is effective from the date we receive it. The following charges apply:

We strongly recommend purchasing travel insurance that covers cancellation, so you are protected against unforeseen circumstances such as illness, injury, or bereavement.
3.1 Transfers. Where possible, we will try to accommodate a transfer of your place to another person. Please contact us as early as possible if you need to transfer. A £50 administration fee applies. Transfers are not guaranteed and are subject to our approval.
4.1 Cancellation by us. We reserve the right to cancel a retreat if the minimum number of participants is not reached, or due to circumstances beyond our control (see Section 11 — Force Majeure). In the event we cancel a retreat:
4.2 Changes by us. We may occasionally need to make minor changes to the retreat itinerary, accommodation, or schedule. We will notify you of any significant changes as soon as possible. If a significant change is not acceptable to you, you may cancel and receive a full refund.
Travel insurance is mandatory for all guests. You must hold a valid travel insurance policy that covers, at minimum:
You may be asked to provide evidence of your insurance before or at the retreat. We reserve the right to refuse participation to any guest who cannot demonstrate adequate insurance cover.
6.1 Fitness requirements. Our retreats include physical activities such as hiking, yoga, breathwork, and fitness sessions. You must be in good general health and possess a reasonable level of physical fitness to participate safely. If you have any doubts, please consult your doctor before booking.
6.2 Medical conditions. You must disclose any pre-existing medical conditions, injuries, allergies, dietary requirements, or medications that may affect your participation. This information should be provided on your booking form or communicated to us in writing before the retreat. Failure to disclose relevant health information may result in your exclusion from certain activities, and we will not be liable for any injury or harm that arises as a result.
6.3 Pregnancy. If you are pregnant, please inform us before booking. Some activities may not be suitable during pregnancy and we may need to make alternative arrangements.
6.4 Minimum age. All guests must be at least 18 years of age at the time of the retreat.
6.5 Right to exclude. We reserve the right to exclude any guest from a specific activity if, in the reasonable judgement of the retreat hosts, participation poses a risk to the guest or others. No refund will be given in such circumstances.
7.1 Our liability. We accept responsibility for the retreat experiences we directly organise and deliver. Our liability for any loss, damage, or personal injury arising from our negligence is limited to a maximum of the total retreat fee you paid.

7.3 Activities. Participation in all physical activities is at your own risk. By booking, you acknowledge that outdoor and adventure activities carry inherent risks and you accept those risks.

The Safe Space Place are designed to be a safe, respectful, and supportive environment for all guests. By booking, you agree to:
We reserve the right to ask any guest to leave the retreat if their behaviour is deemed harmful, disrespectful, or disruptive. No refund will be given in such circumstances.
Photos and videos may be taken during the retreat by the hosts or a designated photographer for use in The Safe Space Place marketing materials, social media, and website.
By attending the retreat, you consent to being photographed or filmed and to such images being used for these purposes. If you do not wish to be photographed, you must inform us in writing before the retreat begins. We will do our best to respect your wishes.
We ask that guests are thoughtful about sharing photos or videos of other guests on social media without their explicit consent.
"Force majeure" means any event beyond our reasonable control, including but not limited to: natural disasters, extreme weather, pandemics, government travel restrictions, war, civil unrest, terrorism, strikes, or the failure of third-party suppliers.
In the event of force majeure, we are not liable for any loss or additional costs incurred by you. We will, where possible, offer a postponement or credit towards a future retreat. Where a full refund is not possible due to non-recoverable costs already committed, we will be transparent with you about what we are able to return.
This is another reason why comprehensive travel insurance (including cancellation cover for unforeseen events) is essential.
We collect personal information (name, contact details, health disclosures) for the purpose of managing your retreat booking. We will not share your personal information with third parties except where required to deliver the retreat (e.g. accommodation providers) or where required by law.
By booking, you consent to us contacting you with information relevant to your booking and future retreats. You may opt out of marketing communications at any time.
13.1 Primary governing law. These Terms are governed by and construed in accordance with the laws of the United Arab Emirates (UAE), as the primary place of business of The Safe Space Place. Any dispute arising from these Terms or your booking shall first be subject to the jurisdiction of the courts of the UAE.
13.2 Retreat location laws. You acknowledge that retreats take place in sovereign countries with their own laws and regulations. Where a dispute or incident arises directly within a retreat destination country, local laws may also apply:
13.3 Compliance. All guests are responsible for complying with the laws, regulations, customs, and entry requirements of the destination country. The Safe Space Place accepts no liability for any consequence arising from a guest's failure to comply with local laws.
13.4 Dispute resolution. In the event of a dispute, we encourage you to contact us first so we can attempt to resolve the matter amicably. If a resolution cannot be reached, disputes shall be referred to the jurisdiction of the UAE courts, unless local mandatory law in the retreat destination country requires otherwise.
